Make the hospitality fit the cause
Discuss the audience, event tone and organizer’s objectives before choosing a format. A rolling demonstration can be considered for an adult hospitality area or reception when the organization and venue approve the activity. It should complement the program rather than distract from fundraising or recognition.
- Benefit dinners and donor receptions
- Approved charity tournament hospitality
- Adult VIP and sponsor gatherings
Coordinate with the fundraising program
Share the timing of speeches, live auctions and presentations. Choose a service window that lets guests approach the table without missing the reason they came. Agree on whether the station opens before dinner, during a reception or after the main program.

Separate hospitality from fundraising promises
Discuss sponsor artwork and the cost of custom bands in advance. Donations, auction contributions, fundraising guarantees and tax treatment are not implied by a service inquiry. Any special arrangement should be documented separately with the organizer.
Keep the event brief complete
Provide your venue, adult attendance, service hours, desired cigar quantity and day-of contact. Confirm access, setup and any designated smoking location with the property. Ask about staffing, preparation, travel and the written service inclusions before reserving the date.

Does a charity booking include donated service?
A charitable event does not automatically include donated service, sponsorship or a fundraising commitment. Contact us to discuss the actual service request and any separate proposal.
