Ask the venue about the rolling demonstration, any distribution of cigars and the proposed smoking location. Do not assume that approval for one activity covers the others. Confirm the applicable property rules and requirements directly rather than relying on a general planning page.
Prepare the working area
Discuss a six-foot table, a tablecloth and a chair for the roller unless your proposal specifies another arrangement. Confirm suitable lighting, a stable surface and enough circulation space for guests to watch comfortably. If a larger display or lounge is planned, agree on furniture and dimensions separately.
Make arrival straightforward
Send the exact address, loading entrance, parking instructions, access window and any elevator or security arrangements. Include a day-of contact who can meet the team. Ask the planner to allow setup and breakdown time beyond the guest-facing service period.
Plan the outdoor alternative
A sheltered position, adequate light and protection from disruptive wind or weather should be discussed before event day. Agree with the property on a backup layout that still respects the permitted smoking area and access requirements.
Document special venue requirements
If the property requests insurance documents, vendor registration, permits or other conditions, send those requirements early for review. Availability or provision of a specific document is not implied by a general inquiry.
